Privacy Policy
Effective Date: May 2026 — Last Updated: August 2026
1. Who we are
My Castlemaine (mycastlemaine.directory) is operated by Shadowtek Pty Ltd (ACN 627 829 878) as Trustee for The Dey Family Trust (ABN 32 913 781 386), an Australian company, and is part of the MY Directory Network.
Contact: listings@mydirectory.network — PO Box 6, Warwick QLD 4370, Australia
2. Information we collect
- Business information you submit when you create or claim a listing: business name, contact details, description, photos, logo, offers and events
- Publicly available business information we compile to build the directory, from sources including business websites and Google's business data services: business name, address, phone, website, published contact email addresses, opening hours, review ratings and photographs
- Account and contact details when you claim a listing, log in by email, contact us, or lodge an expression of interest
- Recommendations you leave for a business: the reason, first name and suburb you give are published on its listing. Your email is used only to confirm the recommendation was yours and to stop duplicates. It is never shown on the site or given to the business
- Payment records for Featured subscriptions, processed by Stripe. We never see or store your full card details
- Usage data via Google Analytics (GA4), Microsoft Clarity and standard server logs from our hosting provider, Cloudflare
3. How we use your information
- To operate the directory and display listings
- To process claims, manage links, logins and billing
- To send transactional emails about your listing or subscription
- To contact listed businesses about their own listing (see section 4)
- To measure and improve the site
4. Contacting listed businesses
Where a business has published a contact email address (for example on its own website), we may send that business a small number of emails about its listing on My Castlemaine, such as an invitation to claim and manage the listing. We do this consistent with applicable law including the Spam Act 2003 (Cth): every email identifies who we are and includes a working way to opt out, and opt-out or removal requests are honoured promptly. We do not use these addresses for unrelated marketing and we do not sell them.
5. Cookies and analytics
We use Google Analytics (GA4) to understand site usage; GA4 sets cookies for this purpose. Our website chat assistant may also store a small amount of data in your browser to keep your conversation going.
We use the Meta Pixel to measure our own advertising on Facebook and Instagram and to show our ads to people who have visited this site. It sets cookies and tells Meta which pages you visit and when you submit or claim a listing, start a checkout or send an enquiry. It does not run on the private pages for managing a listing or an ad. When you submit or claim a listing, send an enquiry or pay for a Featured listing or banner, our server also tells Meta directly, with your name, email address (and phone number, if you gave one) scrambled by one-way hashing so Meta can match it to an account without receiving it in readable form. You can control the ads Meta shows you in your Facebook or Instagram ad settings. We do not use third-party ad networks to show ads on this site.
We also use Microsoft Clarity to see how pages are actually used, through anonymised heatmaps and session replays of clicks, scrolling and mouse movement. Clarity masks the text you type into forms, so it does not capture what you enter in a field, and it sets cookies to recognise a returning visit. We use it to find broken and confusing pages, never to identify individuals. You can opt out of session replay through your browser's Do Not Track or Global Privacy Control setting, which Clarity honours.
6. Service providers
We use a small number of providers to run the network:
- Cloudflare — hosting, storage and content delivery
- Stripe — payment processing for Featured subscriptions
- SMTP2GO — email delivery
- ThriveDesk — support inbox
- Website chat assistant — AI-assisted replies in the chat bubble; conversations are stored on servers in the European Union
- Google — business data services and analytics
- Microsoft Clarity — anonymised usage heatmaps and session replay
- Meta: advertising measurement through the Meta Pixel
7. Sharing your information
We do not sell personal information. We share information only with the service providers above as needed to run the site, or where required by law.
8. Overseas processing
Our providers operate global infrastructure, so data may be processed outside your country, including in the United States. The network is operated from Australia and we handle personal information in accordance with the Australian Privacy Principles.
9. Data retention
Listing information is retained while the listing is live. If a listing is removed, associated personal information is deleted or de-identified within a reasonable period, except records we must keep (such as billing records).
10. Your rights
You may access, correct, or request deletion of your personal information at any time. Business owners may claim their listing to correct it directly, or request complete removal from the directory. Contact listings@mydirectory.network; removal requests are actioned promptly. If you are unsatisfied with our handling of a complaint you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
11. Changes to this policy
We may update this policy from time to time. The "Last Updated" date will reflect changes.
